Billing issues and no response from Regus


I signed up with Regus earlier this year for shared office space. There was already an issue where my agreement was incorrectly set up by their back office, which resulted in my rate increasing when it should not have. After I raised the issue, Regus acknowledged it and ultimately honored a new 12-month agreement beginning in June 2026 at the agreed rate of $325 per month.

Unfortunately, I am now dealing with another billing issue.

I have paid Regus over $4,400 since starting on January 7, 2026, and I cannot get a clear explanation or reconciliation showing how they arrived at these charges. I have reached out asking for a complete breakdown of my account, including what I was charged each month, payments received, credits, adjustments, and how the previous contract error was handled.

I still have not received the accounting or a satisfactory response.

Regus automatically charges my credit card approximately 15 days before payments are due, so customers should be able to expect accurate billing and a timely explanation when the numbers don’t add up.

I am not asking for anything unreasonable. I simply want Regus to provide a complete reconciliation of my account, correct any billing errors, and refund or credit any overpayments.

I will gladly update this review once Regus responds and resolves the matter. Until then, I would strongly recommend that customers carefully review every Regus invoice and credit card charge.

Run Away! Do not do business with this company.

My experience with this company involved an office I paid for but could not access, undisclosed restrictions, charges for amenities that did not exist, significant undisclosed additional costs, repeated billing problems, extremely poor support, and continued collection attempts even after I formally terminated the agreement.

I originally had an office with the company and requested a transfer to a larger office. I was sold, invoiced, and charged for the new office, only to discover that the office I had paid for was not actually available since the location shut down. I lost approximately a month despite having already paid.

I was eventually redirected to an alternative location. Once my employees gained access, they were informed that they had to leave by 9:00 PM due to fixed business hours. This restriction was never disclosed before I agreed to and paid for the office. Our business requires employees to work beyond 9:00 PM, so this was not a minor detail. Had it been disclosed beforehand, I would not have agreed to that location.

I was told the matter required involvement from a manager. For more than two months, I repeatedly attempted to speak with management. Despite numerous follow-ups, I was never able to speak directly with the manager, and the issues remained unresolved.

The billing problems were just as concerning. I was charged for kitchen amenities even though the office did not have the kitchen facility I was being charged for.

I was also quoted and agreed to a specific price for the office, only to ultimately be charged approximately 20% more due to taxes and additional charges that were not disclosed when the price was presented. A 20% increase can absolutely determine whether something fits within a business’s budget. These costs should have been clearly disclosed before I agreed to the office, not after payment.

Their billing system also charged my card in a way that maxed out the account and disrupted other essential business transactions. This was the second billing incident I experienced. The first had been attributed by their team to a “system error.” When it happened again, I was expected to wait weeks for an investigation and refund while dealing with the consequences of their billing problem.

At this point, I had paid for an office I could not access, lost approximately 3 months, been moved to a location with undisclosed operating restrictions, been charged for amenities that did not exist, been charged approximately 20% above the price presented to me, experienced repeated billing problems, and spent more than two months unsuccessfully trying to get management to resolve everything.

After 3 months, I formally terminated the agreement in writing and documented these issues.

Despite that, their collections department continued contacting me for payment, while the office itself also continued sending payment requests. I repeatedly responded explaining what had happened and why the agreement had been terminated. Those emails were ignored. Instead of receiving a meaningful response addressing any of the documented issues, I would simply receive another request for payment.

The cycle became: they request payment, I explain the situation, my explanation goes unanswered, and then they contact me again demanding payment.

Making this worse is that support is essentially handled through email. For serious issues involving incorrect billing, unavailable office space, refunds, contractual matters, and collections, customers should be able to promptly reach someone with the authority to resolve the problem. Instead, I spent months sending emails while the underlying issues remained unresolved and payment demands continued.

If an office, amenity, access restriction, tax, or additional charge materially affects what a customer is receiving or paying, it should be disclosed before accepting payment. If a company is pursuing someone for payment, it should also address that person’s documented explanation instead of ignoring it and continuing to send collection demands.

I have retained the agreement, billing records, correspondence, termination notice, and subsequent collection communications documenting this experience.

Based on my experience, I cannot recommend this company.

I do not recommend

Calgary, AB 8th Ave SW location, separate office rental.

I DO NOT RECOMMEND IT.

Information privacy:
- Shortly after providing my manager's email address to the front desk reception of the building, he started receiving cleaning offers from private cleaning companies and other spam.
- Regus demands to have credit card on file AND debit account information (for supposedly deposit return which they did not return in the end), even though the invoices are paid manually through their website.

Office space:
- because cleaning is done through Regus and they have the keys to your office, be ready that your pens, printing paper and other stationery go missing.
- the office walls have zero soundproofing. If you are intending on conducting meetings that require privacy, forget about it.
- A/C and, probably, ventilation was off during after work hours. I was suffocating in summer days when I had to come to the office during the weekend.

Billing:
- a sad story. Do not expect to get your deposit in the amount of 2 months' rent back. The conditions of the contract are such that Regus charges for what they call "restoration services" once you move out. They set the amount of 'restoration services' not in the contract, but capriciously in the 'House Rules', subject to change at any time at Regus's discretion. This amount did not depend on whether we left the office impeccably clean - we were invoiced automatically on the 1st day of move out, at around 2 AM at night. No reports of jobs done to 'restore' the office space were provided to us, of course.
- Rent amount grows on the fly at Regus's desire.

1 Star – Extremely frustrating experience getting my $2,109.20 retainer back

I moved out of my Regus office on August 1, 2026, and submitted my Return of Retainer request on August 4. My account was fully reconciled with no outstanding balance, and Regus confirmed that I was owed a $2,109.20 refund.

What followed has been an incredibly frustrating series of contradictory answers.

I was repeatedly told by Regus representatives that my $2,109.20 refund had been processed and would be sent by ACH to my bank account ending in 4091. I was then told that September 9, 2026 was the latest date I should expect to receive the funds.

September 9 came and went with no refund.

I contacted Regus again and was then given an entirely different explanation. Ana from the Account Helpdesk stated that the refund was supposedly processed on August 12 and refunded to a card ending in 8971.

There is a major problem with that explanation: I no longer had that card months before August 12. I had also specifically completed Regus's Return of Retainer form and provided my current bank account information for the refund.

So now I have Regus telling me, in writing, two completely different things:

• The refund was processed by ACH to my bank account ending in 4091.

• The refund was processed to an old card ending in 8971.

Neither explanation has resulted in me receiving my $2,109.20.

I have repeatedly asked Regus to provide the actual transaction information, including the payment method, destination, transaction/reference/trace number, and confirmation that the alleged payment actually completed rather than being rejected or returned.

Instead, I have spent weeks going back and forth with customer service trying to get an answer about money that Regus itself acknowledges is owed to me.

The most frustrating part is that the account is already reconciled. There is no dispute over whether I owe Regus money. Regus has acknowledged the $2,109.20 refund. The issue is simply getting the money actually returned and getting a straight answer about where it supposedly went.

This experience has seriously damaged my confidence in Regus. If you are considering using Regus, I strongly recommend keeping detailed records of your payments, retainer, move-out date, refund request, and every communication with them. Based on my experience, getting a retainer refunded can become a surprisingly difficult process.

I am still waiting for my $2,109.20 and for Regus to reconcile its contradictory payment records.

The office in Randburg are professional…

The office in Randburg are professional and also the staff. The clients are allowed to seat at the Reception while waiting for me. The other offices dont offer this. There is also business lounge.

Wilful disregard for contract law

I can fully appreciate a Ryanair-style business model of low headline cost and lots of hidden extras, but Regus' conduct has extended into non-contractual illegality.

We have long left the contract, but now insisting on charging us an office restoration fee (despite us never hiring an office – we were just coworking users and the contract we signed does not apply this charge to coworking users), and now also charging a payment method retainer despite all dues being paid (so you want us to pay a deposit which will only get refunded again immediately). We will make sure never to return to Regus

Entered to lobby when it wasn't obvious if I just enter the building and go directly to Regus' floor. Receptionist was extremely helpful. Space was nice as well. Bathroom could use improvement.

Poor experience with Regus

The office staff for the most part were good. Upon move out our office was perfect - clean, no damage. 30 days after move out we received a bill for $1150 for damages. I had pictures of the office and refuted the charges. Then they said the charges were for paperwork to close out the lease - which is utterly ridiculous. Upon trying to reach someone at corporate they made it impossible to discuss further. We are a small business and this is an excessive charge. Highly recommend never doing business with Regus.
